Automate Invoice Approvals

Invoice Approvals in Slack.
Synced to Your Ledger.

High-value invoices get a one-click approval in Slack before they send — with the contract context attached — and every approval posts through to QuickBooks, NetSuite, or Stripe.

Email approval chains vs Slack approvals

Approval by email thread means invoices wait days for a yes that takes seconds.

Without automation

  • Approval requests buried in email threads with the invoice attached as a PDF
  • Approvers lack context — they open the CRM, the contract, and the last invoice to check
  • Invoices wait days; terms start late; DSO inherits the delay
  • No record of who approved what, or against which version
  • Small invoices wait in the same queue as big ones

With LedgerUp

  • Approval lands in Slack with the invoice, contract terms, and deal context in one card
  • One click to approve, hold, or flag — from wherever the approver is
  • Thresholds route only what needs review; routine invoices flow through
  • Every approval logged: who, when, what version — audit-ready
  • Approved invoices post to your billing system and send immediately

How Slack invoice approvals work

From generated invoice to approved-and-sent, without leaving Slack.

01

Approval rules decide what gets held

You define thresholds by amount, customer tier, deal type, or first-invoice status. Invoices below threshold send automatically; invoices matching a rule hold for review. Most teams review the top 10% and let the rest flow.

02

The approval card carries the context

The Slack message shows the invoice lines, the contracted terms they came from, the deal reference, and anything unusual Ari noticed — a rate that differs from the last invoice, a first bill on a new contract. Approvers decide from the card, not from five open tabs.

03

One click, fully logged

Approve sends it. Hold pauses it with a note. Flag routes it to someone else. Every action records the approver, timestamp, and invoice version — the approval trail your auditors ask for, generated as a side effect.

04

Approved invoices post and send

On approval, the invoice posts to QuickBooks, NetSuite, Sage Intacct, or Stripe and goes to the customer — same day, not next sprint. Reminders and collections pick it up from there.

Approval workflow use cases

Where a review step earns its keep.

High-Value Invoice Review

Invoices over a threshold get controller eyes before they reach the customer — catching rate errors and scope mismatches when they’re free to fix.

Invoices over $25K hold for one-click controller approval; everything under flows straight through. Average approval time: under an hour.

First Invoice on a New Contract

The first bill against a freshly parsed contract is the one worth checking. A human confirms Ari’s extraction once; subsequent invoices on the same contract run automatically.

A new enterprise contract’s first invoice shows the extracted terms next to the invoice lines — approved in Slack in 30 seconds.

Discount and Exception Sign-Off

Non-standard terms — negotiated discounts, custom payment schedules — route to the deal desk or finance lead for sign-off, with the deviation highlighted.

An invoice reflecting a 20% negotiated discount routes to the CFO with the variance from list pricing called out.

Invoice approval FAQ

Common questions about Slack invoice approvals with LedgerUp.

What can trigger an approval hold?

Amount thresholds, customer tier, first invoice on a new contract, deviation from prior billing (a changed rate or quantity), non-standard terms, or specific accounts you flag. Rules compose — for example, hold everything over $10K plus every first invoice regardless of size.

Can approvals route to different people?

Yes. Routing follows your rules: amount bands to different approvers, specific customers to their account owners, discounts to the deal desk. Unavailable approvers can have fallbacks, and anything unapproved past an SLA can escalate or auto-release per your policy.

Do approvers need LedgerUp accounts?

Approvers work entirely from Slack — the card carries everything needed to decide. Deep-dive links into the underlying contract and invoice are there when someone wants them.

What does the approval log capture?

Approver identity, timestamp, invoice version at approval time, and any notes or holds along the way. When auditors test authorization controls on billing, the evidence is a query, not an email search.

Does a hold delay the customer?

Barely, in practice — Slack approvals typically clear in minutes to hours versus days for email chains. And because only rule-matching invoices hold, the median invoice isn’t delayed at all.

Which billing systems does this work with?

QuickBooks, NetSuite, Sage Intacct, Xero, and Stripe. The approval happens before posting, so your ledger only ever sees approved invoices.
