It monitors deal stage changes; when a deal reaches the trigger stage you choose, such as Closed Won, LedgerUp reads the deal properties, line items, and attached contracts and creates the correct invoice or subscription in Stripe, QuickBooks Online, or NetSuite. You do not need custom objects or Operations Hub to get started.

The integration turns a closed HubSpot deal into correct billing without a manual handoff. LedgerUp receives a webhook the moment the deal hits the trigger stage, applies contract intelligence to deal properties, line items, and attached contract PDFs, and decides whether to create a subscription, a one-time invoice, or a series of milestone invoices. HubSpot contacts and companies are matched to billing-system customers to prevent duplicates, and when payments arrive, LedgerUp updates the HubSpot deal, contact, and company records in real time, so sales and finance always see the same data.

A deal hits the trigger stage
LedgerUp receives a webhook notification from HubSpot immediately. The trigger stage is configurable, and you can add blocking conditions, such as a missing contract or incomplete billing details, that prevent invoice creation.
Contract intelligence reads the deal
Billing terms come from deal properties, line items, and attached contract PDFs: net terms, billing schedules, and payment milestones. When invoice details don't live in structured HubSpot fields, Ari extracts them from the contract and compares them against the deal before creating anything.
The right billing object is created
LedgerUp decides between a subscription, a one-time invoice, or a series of milestone invoices based on the deal properties and contract terms. A $36,000 annual contract that closes at 2pm has its Stripe subscription, monthly invoicing at $3,000 with Net 30 terms, by 2:01pm.
Customers are matched, not duplicated
HubSpot contacts and companies are matched to existing QuickBooks or NetSuite customer records, or created cleanly when they don't exist, with deduplication and field mapping handled automatically.
Exceptions surface in Slack first
Missing or ambiguous billing information is flagged in Slack via Ari before an incorrect invoice is sent. Approval routing is configurable by invoice value, legal entity, discount level, or missing data. Nothing gets pushed with bad data.
Payment status flows back to HubSpot
When a payment is recorded, LedgerUp updates the HubSpot deal, contact, and company records in real time. Overdue invoices trigger reminders that reference the original deal context, and reminders stop when payment arrives.
