Procurement Portals

Procurement Portal Invoicing
Submitting invoices into Coupa, Ariba, and every other portal

Enterprise customers increasingly require invoices through a procurement portal: Coupa, SAP Ariba, Bill.com, Tipalti, or something built in-house. Each has its own login, its own required fields, and its own ways of silently rejecting an invoice. LedgerUp's agent, Ari, handles the whole loop: picking up the request, matching the PO, logging in, submitting with the fields and attachments the portal demands, and reporting status back in Slack.

What procurement portal submission involves

Procurement portal submission is the process of delivering an invoice through the customer's AP system rather than by email: entering it in their portal with the correct purchase order reference, line items, amounts, and supporting documents, then tracking it through approval to payment. It matters because a portal invoice that is never submitted, or submitted with a field the portal rejects, does not age like an unpaid invoice; it simply does not exist to the customer's AP team, and nobody tells you.

How a portal submission runs

The workflow Ari runs for each portal invoice, using credentials you provide.

1

The request is picked up automatically

Ari monitors your finance, billing, or AR inbox and picks up portal submission requests and new purchase orders as they arrive, without anyone forwarding them.

2

The PO is read and matched to the invoice

Ari reads the purchase order, matches it to the corresponding invoice, and updates any fields that need to change, such as PO numbers, amounts, and line items, so the submission matches what the portal expects and doesn't get rejected.

3

Ari logs in and submits

Using the credentials you provide, Ari logs into the customer's portal and submits the invoice with the correct data, attachments, and required fields. If your team can log in and submit, Ari can too, including custom and proprietary portals.

4

Confirmation lands in Slack

Every submission gets a confirmation posted to your team in Slack. If information is missing, Ari asks the team directly instead of failing quietly. No silent failures.

5

Status is tracked through to payment

Ask Ari about any invoice and he'll tell you whether it has been submitted, accepted, rejected, or is pending payment. If a portal rejects a submission or a field is missing, your team knows immediately and can resolve it quickly.

6

Missing POs get chased upstream

When a deal requires a PO that doesn't exist yet, Ari asks the customer's procurement contact for it, matches it to the deal when it arrives, and generates and sends the invoice from there.

Portal coverage and behavior

What Ari handles per portal, and what the workflow guarantees regardless of portal.

Coupa

Submission into Coupa supplier portals, with PO matching and the field-level detail Coupa validates on receipt.

SAP Ariba

Submission into Ariba, including the PO reference and documentation requirements Ariba enforces.

Bill.com and Tipalti

Submission into AP platforms customers run their payables through, with the same PO matching and confirmation loop.

Custom and proprietary portals

Ari can submit to any procurement portal as long as you provide the login credentials. If your team can log in and submit, Ari can too.

PO matching

Every submission is checked against the purchase order first: number, amounts, and line items, so it isn't rejected on receipt or paid against an exhausted PO.

Status visibility

Submission state lives in Slack: submitted, accepted, rejected, or pending payment, per invoice, on demand.

Procurement Portal Invoicing FAQ

Which procurement portals does LedgerUp support?

Coupa, SAP Ariba, Bill.com, Tipalti, and custom or proprietary portals. Coverage is defined by access rather than a fixed integration list: Ari submits using the login credentials you provide, so if your team can log into a portal and submit an invoice, Ari can too.

Does Ari handle PO matching?

Yes. Ari reads the purchase order, matches it to the corresponding invoice, and updates any fields that need to change, including PO numbers, amounts, and line items, so the submission matches what the portal expects and doesn't get rejected.

How does Ari log into customer portals?

With credentials you provide. Ari navigates the portal the way a person would: logging in, filling the required fields, attaching the documentation the portal demands, and submitting. There is no human in the loop, and no manual portal logins are required from your team.

What happens if a portal rejects a submission?

Your team knows immediately. Rejection is mostly prevented upstream, because the PO matching step catches mismatched numbers, amounts, and line items before submission. When something is still wrong, whether a rejected submission or a missing field, Ari surfaces it in Slack right away so it can be resolved quickly instead of being discovered when the invoice ages.

How do I check the status of a portal invoice?

Ask Ari in Slack. For any invoice he'll tell you whether it has been submitted, accepted, rejected, or is pending payment, so nobody has to log into each portal to find out where an invoice stands.

How much time does portal automation actually save?

LedgerUp customers report about 15 hours saved per month on portal submissions and an average 13-day DSO reduction on procurement-portal invoices, with zero manual portal logins. The before-and-after is stark: a manual submission cycle that takes days of forwarding, form-filling, and status-checking becomes a few minutes of automated work.
