Invoice Approval Automation for NetSuite and Sage Intacct
Learn how finance teams route customer invoice approvals by amount, department, and entity, approve exceptions in Slack, and post approved invoices to NetSuite or Sage Intacct without rekeying.
Invoice approval automation routes a customer invoice to the right reviewer before it posts to the ERP or is sent to the customer. For NetSuite and Sage Intacct finance teams, the workflow should preserve the invoice lines, customer, legal entity, dimensions, decision, and audit trail, then post the approved transaction without rekeying it.
This guide is about accounts receivable and customer invoices. Many search results use “invoice approval” to mean accounts payable and vendor bills. That is a different workflow with different controls.
The ERP invoice approval workflow
| Stage | System action | Audit evidence |
|---|---|---|
| 1. Build the draft | Contract, CRM, usage, and customer master data become invoice lines with GL and dimension mappings. | Source contract, deal, usage batch, and calculation version. |
| 2. Evaluate policy | Rules check amount, department, entity, discount, credit, terms, first invoice, and missing data. | Policy version and triggered rule. |
| 3. Route the exception | The invoice goes to the budget owner, controller, revenue lead, or executive required by policy. | Approver identity, timestamp, comments, and attachments. |
| 4. Approve in Slack or the ERP | The reviewer approves, rejects, or returns the invoice with context. | Immutable decision history and segregation of duties. |
| 5. Post without rekeying | The approved customer invoice writes to NetSuite or Sage Intacct with the correct entity and dimensions. | ERP record ID, posting result, and any sync exception. |
Example approval-routing matrix
Start with the smallest policy that covers real risk. Routing every invoice to a CFO simply replaces data entry with an approval bottleneck.
| Condition | Approver | ERP treatment |
|---|---|---|
| Standard renewal under the team threshold | Auto-approved | Post with full audit log. |
| First invoice for a new customer | AR lead | Validate bill-to entity, tax, PO, and contact before posting. |
| Non-standard terms, credit, or backdated change | Controller or revenue accounting | Hold the draft until treatment is approved. |
| High-value invoice | Finance leader, then executive if policy requires | Sequential approval with amount threshold captured. |
| Cross-entity or unusual dimension coding | Entity controller | Validate subsidiary, location, department, class, or Intacct dimensions. |

NetSuite customer invoice approvals
NetSuite can keep approval status, customer and subsidiary context, accounting dimensions, and posting history on the transaction. A native SuiteApp may be the shortest path if all relevant invoice data already exists in NetSuite. An external workflow is more useful when the draft starts in Salesforce, HubSpot, a signed contract, usage data, or Slack.
LedgerUp Insight: The workflow described above is one that LedgerUp automates end-to-end. Ari handles the repeatable steps, keeps the source records connected, and routes exceptions to finance for review.
Sage Intacct customer invoice approvals
Sage Intacct teams should preserve the customer, entity, location, department, project, item, and other dimensions from the draft through posting. If the approval happens outside Intacct, the final write-back should include the source record and decision trail so finance can move from invoice to evidence without reconstructing Slack messages.
Slack above the ERP
Slack should be the decision surface, not a second ledger. The reviewer sees the invoice summary and exception context in Slack; the workflow records the approval; and the approved invoice posts to NetSuite or Sage Intacct. Rejections return to a structured exception queue rather than becoming an untracked chat thread.
Invoice approval software compared
The most important distinction is whether the product is built for customer invoices (AR) or vendor invoices (AP). Tipalti and Stampli are strong AP-category products, but they are not direct substitutes for an AR approval workflow.
| Tool | Best for | ERP fit | AR customer invoices? | Main tradeoff |
|---|---|---|---|---|
| ZoneApprovals | NetSuite-native approval matrices and email approvals | Native NetSuite SuiteApp | Yes; Zone documents sales order, invoice, and customer-credit routing | NetSuite-specific; not a Sage Intacct or cross-stack orchestration layer. |
| Charted | Configurable NetSuite record approvals without extra approver licenses | NetSuite-native | Confirm the exact customer-invoice record and workflow during evaluation | Its public positioning is primarily AP and NetSuite approval automation. |
| Tipalti | Global AP, supplier invoice approval, and payments | Connects to NetSuite and other ERPs | No; it is primarily a vendor-invoice/AP workflow | Wrong category when the goal is approving invoices sent to customers. |
| Stampli | Collaborative AP invoice capture and vendor-bill approvals | ERP-integrated, including NetSuite | No; it is primarily a vendor-invoice/AP workflow | Does not own contract-to-customer-invoice execution. |
| LedgerUp | B2B SaaS customer invoices built from CRM, contracts, usage, and amendments | NetSuite and Sage Intacct workflows with Slack approvals | Yes; customer invoice and revenue-operation focus | Purpose-built for B2B SaaS contract-to-cash, not general AP automation. |
Controls finance should require
- routing by amount, department, entity, customer, invoice type, and exception reason;
- segregation between the invoice creator, approver, and ERP administrator;
- approval delegation and escalation with a recorded policy;
- locked invoice economics after approval or automatic reapproval after a material change;
- GL account and dimension validation before posting;
- duplicate prevention and retry-safe ERP writes; and
- a complete trail from source contract to ERP invoice ID.
For a collaboration-first pattern, see the Slack invoice approval workflow template. Then review the NetSuite contract-to-cash guide, NetSuite invoice sync guide, and LedgerUp’s Sage Intacct integration.
Frequently asked questions
What is the best invoice approval software for NetSuite?
ZoneApprovals is a strong NetSuite-native choice for configurable approval matrices, while LedgerUp is the better fit when customer invoices start in CRM, contracts, usage data, or Slack and must post back to NetSuite after approval.
How do you automate invoice approvals in Sage Intacct?
Build the draft from approved source data, evaluate routing rules, send exceptions to the required reviewer, record the decision, and post the unchanged invoice with its entity and dimensions to Sage Intacct.
Can you approve an invoice in Slack and sync it to NetSuite?
Yes. Slack can present the invoice and capture the decision, while the workflow stores the audit trail and posts the approved customer invoice to NetSuite without manual reentry.
What is the difference between AR and AP invoice approval?
AR approval controls invoices your company sends to customers, while AP approval controls vendor bills your company receives and pays; the records, risks, and software categories are different.
