Salesforce Closes Deals.
LedgerUp Bills Them.
Ari reads the contract and CPQ lines when an opportunity closes, creates the invoice or subscription in the billing system you run, collects, reconciles, and writes AR status back to the account.
LedgerUp does not replace Salesforce, and it does not replace your billing system. Salesforce stays the system of record for the deal and the contract. Stripe, QuickBooks, NetSuite, Xero, or Sage Intacct stays the system that invoices and collects. LedgerUp's agent Ari does the work between them: reading the signed order form and CPQ lines, creating and maintaining the billing objects, rating usage against the contract, applying amendments, running collections and procurement portal submission, reconciling payments, and writing AR status back to the account and opportunity. No Revenue Cloud, no managed package, no billing migration.
What changes when Ari bills from Salesforce
HappyRobot's numbers on a Salesforce, DocuSign, Stripe, and Slack stack.
billing cycle at HappyRobot, down from 5 to 7 days, on Salesforce, DocuSign, Stripe, and Slack

of staff time saved each month, and a $150K+ engineering hire avoided
How LedgerUp works with Salesforce
From Closed Won to cash reconciled, with the status back where sales looks.
Connect Salesforce and your billing system
LedgerUp connects to Salesforce over OAuth with read and write access to opportunities, accounts, contacts, custom objects, and attachments, and to Stripe, QuickBooks, NetSuite, Xero, or Sage Intacct over their APIs. Typical setup is 1 to 2 days, with no managed package to install.
Deal closes, Ari reads the contract
When an opportunity moves to Closed Won, Ari reads the CPQ quote lines and the order form or contract PDF attached to the opportunity: pricing, ramps, included usage, payment terms, start date, PO requirements. Mismatches between the quote and the paper are flagged in Slack before anything is billed.
Invoice or subscription created in your billing system
Ari matches or creates the customer and builds the right billing object: a Stripe subscription or schedule, a QuickBooks or NetSuite invoice, a series of milestone invoices, or metered prices for usage. Amounts, cadence, terms, and coding come from the contract.
Collections, reconciliation, and AR status back to Salesforce
Ari follows up on overdue invoices with the deal context, submits invoices to procurement portals, matches payments and Stripe payouts to invoices, and writes invoice status, paid dates, open balance, and past-due amounts to the account and opportunity. A failed charge creates a task for the owner.
Opportunity Closed Won
Contract and CPQ lines read
Customer + invoice created
Team notified for review
Ari receives the Salesforce stage change, reads the contract and quote lines, creates the billing objects, and notifies your team.
What LedgerUp automates for Salesforce
Every manual billing step after Closed Won, handled from the contract.
Closed Won to invoice or subscription
Closed-won opportunities become invoices or subscriptions in Stripe, QuickBooks, NetSuite, Xero, or Sage Intacct with the correct customer, amounts, terms, and line items, without a spreadsheet in between.
CPQ lines and contract PDFs read, not re-keyed
Ari reads Salesforce CPQ quote lines, product data, and pricing rules alongside the signed order form, and reconciles them. The discount promised on paper and never entered in CPQ gets caught.
Usage billing from custom objects
Usage in Salesforce custom objects, your product, or your warehouse is rated against the contract allowance and minimum each period, billed as metered prices or invoice lines, and written back to the account as consumption against commitment.
Milestone billing on stage changes
Invoices fire when opportunity stages change or custom milestones are reached. A 30% on signature, 40% on deployment, 30% on go-live schedule runs itself, with the PO number on every invoice.
Amendments with proration and co-terming
Expansions, upgrades, and co-termed add-ons closed as new opportunities update the live subscription from the effective date, previewed in Slack before they are applied.
AR status on the account and opportunity
Invoice status, paid date, open balance, past-due amount, and collections state on the records sales already works in. Sales sees cash state without asking finance.
Manual or Salesforce-native billing vs LedgerUp
What changes when an agent that reads contracts runs the Salesforce billing workflow.
| Task | Manual or Salesforce-native billing | With LedgerUp |
|---|---|---|
| Create the invoice from a closed deal | Copy opportunity data into the billing tool by hand, or buy Revenue Cloud and move billing into Salesforce | Automatic. Ari reads the contract and quote lines and creates the invoice or subscription in the billing system you already run |
| Apply payment terms, ramps, and PO requirements | Read the PDF, key the terms into fields, remember them at renewal | Read from the order form and applied as written; the ramp becomes a schedule, the PO is printed on the invoice |
| Bill usage against the contract | Export usage monthly, compare with the allowance in a spreadsheet, invoice the difference | Rated against the allowance and minimum each period, previewed, invoiced, and written back to the account |
| Handle an expansion mid-term | Edit the subscription by hand and hope the proration matches the amendment | Amendment read, prorated from the effective date, co-termed, previewed, applied |
| Chase an overdue invoice | Finance emails from a template; the account executive finds out at renewal | Contextual follow-ups referencing the deal, escalation to the owner, a task on a failed charge |
| Answer "did they pay?" | Sales asks finance in Slack; finance opens the billing tool | Status, paid date, and open balance on the account and opportunity, updated from billing events daily |

LedgerUp for Salesforce FAQ
Editions, billing systems, CPQ, multi-entity, implementation, and Revenue Cloud.
Does LedgerUp replace Salesforce?
No. LedgerUp extends Salesforce into billing. Your pipelines, CPQ, custom objects, and workflows stay as they are. LedgerUp automates what happens after Closed Won: reading the contract, creating the invoice or subscription, billing usage and amendments, running collections, reconciling payments, and writing AR status back to the account and opportunity.
Which billing systems does LedgerUp connect Salesforce to?
Stripe, QuickBooks Online, NetSuite, Xero, Sage Intacct, and Chargebee. When an opportunity closes, Ari creates the invoice or subscription in whichever system you run, and different entities or product lines can bill into different systems.
Which Salesforce edition do I need?
LedgerUp connects through the Salesforce API, which is included in Enterprise and Unlimited editions. Professional Edition orgs need Salesforce's API access add-on. No managed package is installed and no custom objects are required to get started.
Can LedgerUp read Salesforce CPQ and custom fields?
Yes. Ari reads CPQ quote lines, product catalog data, and pricing rules, plus any standard or custom fields on the opportunity and account you point it at, and the contract or order form attached to the opportunity. You confirm which fields matter during setup.
Does LedgerUp support multi-currency and multi-entity deals?
Yes. The contract currency and the entity on the account drive which billing system, subsidiary, and currency the invoice is created in. Multi-entity and multi-currency are among the exception types Ari handles as part of the standard workflow.
How long does implementation take?
Typical setup is 1 to 2 days: the Salesforce connection, the billing system connection, and the first automated workflow. Most teams are fully live within a week, with finance or RevOps configuring the workflow and no developer required.
Do I need Salesforce Revenue Cloud?
No. Revenue Cloud moves quoting, contracting, and invoicing into Salesforce on per-user pricing with a multi-month implementation. LedgerUp keeps Salesforce as the CRM and your billing system where it is, and is live in days. The trade-offs are on the LedgerUp vs Salesforce Revenue Cloud page.
